To the ACGS Executive

Some of you will have received the Jun 2002 newsletter by e-mail and others by the postal system - all can refer to the President=s Message on page 1 and the reference there to Aa very special advisory note@ - suggest this be read first. (Also at Note 2 here)

THE TOPIC is LIQUIDATION of CURRENT INVENTORY in PREPARATION for "THE COMPLETE WORKS - Echoes Vol 4 to 10" of the Andrew Cook Genealogical Society

FACTS ------------------

From 500 copies of Vol 1 & 2
              - we hold 180 Set in store

ALL OF OUR COLLECTIVE labours to liquidate these items have met with limited success - including a 2 price sale for 1 yr. Therefore, we now ask for your advise ---
     B here is what we have done to date;

1) we have already begun the information and promotion phase of "THE COMPLETE WORKS - Echoes Vol 4 to 10", as indicated in the Jun 2002 newsletter above; we chose this method because
B see note 1);

2) this leaves us with the inventory noted above to be liquidated B
A SUGGESTION B consign 1 boxes (6 set) of Vol 1 & 2 to each executive member (board, committee and family reps) B to be sold (@ $40.00/set) or donated to local libraries or genealogical/historical societies - at their discretion. (We would need to recover at least shipping costs - any excess would help pay down debt)

We eagerly await your comments and suggestions, which will help us to prepare a proposal for the Board Members vote.

Kathy Cook 199, ACGS President

Fred Cook 198, ACGS Founding President

PROPOSED SCHEDULE of ACTION

1) by 1 Aug 2002 - returns to this letter
2) by 1 Sep 2002 - options to Board Members for vote
3) by 1 Oct 2002 - decision of Board reported
4) by 1 Nov 2002 - begin action as directed (and advise executive)

NOTES

1) The process used to provide Echoes Vol 1 to 3 to our cousins was disastrously flawed ie after well over a decade of our best efforts we still hold the inventory detailed above and carry a debt to Fred and Kathy Cook from 1989 (assumed to pay for Publication and part to pay for the 1989 reunion losses).

Our experience indicates that there is lots of interest BEFORE publishing and the potential customers quickly disappear when the cash is required. By providing the limited edition for Vols 4 to 10 (as a set) and obtaining PRE-PAID ORDERS, we should at least avoid the financial risks. Genealogies are such a specialized product with a very limited customer base that this is the only satisfactory process of distribution B MONEY first - PRODUCT next.
